<p class="Help-Note"><span class="hcp6">Note</span>: The ability to see cost fields, including margin and markup and other fields related to cost, can be controlled by <a href="../qbpos_secadmin/secadminoverview.htm">security rights</a>. If you do not have the right to view item costs, the fields will be masked like this "*****". This right affects cost fields in inventory and on all documents and reports.</p>

<p class="Help-Bulleted">You cannot list non-inventory or service items on a quantity adjustment memo since these items, by definition, have no on-hand quantity in inventory.</p>

<p class="Help-Bulleted">(Pro) Likewise, group items cannot be added to quantity or cost memos, since neither the quantity or the cost of the group is tracked. You can adjust the cost of the component items included in a group item.</p>

<p class="Help-Text">If you are changing the quantities for a large number of items, you may find it faster to do a Physical Inventory to update these quantities instead of using a quantity adjustment memo.</p>
<p class="Help-Text">In the Physical Inventory module, enter a new <font class="hcp1">Physical Qty</font> for each item you want to change. Then update the physical inventory as usual.</p>
<p class="Help-Text">&#160;</p>
<p class="Help-Text">(Pro Alternative) If you use styles, and are changing the quantities for all items in a style, start a quantity memo as usual, and then:</p>

<p class="Help-Steps">Choose <font class="hcp1">Select from Item List</font> from the I Want To menu.</p>
</li>
<li class="p-Help-Steps">
<p class="Help-Steps">Locate one style item and then select <font class="hcp1">Switch to Style</font>.</p>

<p class="Help-Steps">Enter the adjusted (new) quantities in the cells of the style grid. (0 is displayed for each item until you enter a different value)</p>

<p class="Help-Steps">Choose <font class="hcp1">Select</font>. The style items and their adjusted quantities are carried to your adjustment memo.</p>

<p class="Help-Text">Saved memos are permanent records that cannot be deleted. To undo an adjustment, you must create a new adjustment.</p>
<p class="Help-Text"><font class="hcp2"><span style="font-style: normal;">A quick way to accomplish this is to</span> reverse</font> the original memo, which automatically creates another adjustment to cancel the effect of the original.</p>
<p class="Help-Info-Line">To reverse a memo:</p>

<p class="Help-Steps">In your adjustment history list, highlight or display the memo that you want to reverse.</p>

<p class="Help-Steps">Select <font class="hcp1">Reverse</font> from the I Want To menu.</p>

<p class="Help-Indent">The Reversing Document dialog is displayed.</p>

<p class="Help-Bulleted">Reversing a memo does not alter the original memo; other than marking it as <span style="font-style: italic;">Reversed</span> in its <span class="hcp3">Status</span> field. Instead, a second memo is created that has the opposite effect on inventory. For example, reversing a quantity memo that removed three units of an item from inventory will add three units back to inventory.</p>

<li class="p-Help-Bulleted" style="margin-left: -20px;">
<p class="Help-Bulleted">Reversing a cost memo creates a new memo that reverses the total dollar amount of the original cost adjustment. It also adjusts the current average unit cost in inventory for each included item.</p>

<p class="Help-Bulleted">When completed, the original memo will be marked <font class="hcp2">Reversed</font> in the <font class="hcp1">Status</font> field. The new memo that is created will be marked <font class="hcp2">Reverse</font> in its <font class="hcp1">Source</font> field and <font class="hcp2">Reversing</font> in the <font class="hcp1">Status</font> field.</p>

<p class="Help-Bulleted">If integrated with QuickBooks Desktop financial software and if the original memo has already been sent to QuickBooks Desktop, then the reversing memo is also sent as part of the next <a href="../qbpos_qb_data_exchange/qbfs_adjustments.htm">consolidated inventory adjustment</a> cancelling the effect of the original. The original financial entries are not edited or removed. If the original document has not yet been sent, then both are flagged and neither is sent, so there will be no entries made in your financial software for the transaction.</p>

<p class="Help-Text">Old, new, and difference fields for adjusted values are included in the item list on adjustment memos.</p>
<p class="Help-Text">For example, on a cost adjustment memo, the <font class="hcp1">Old</font> <font class="hcp1">Cost</font> field shows the current inventory cost for an item. You enter the adjusted value in the <font class="hcp1">New Cost</font> field (decimal cost entry allowed, up to five decimal places). The difference between the old and new cost is displayed in the <font class="hcp1">Diff Cost</font> field. Likewise, on quantity adjustment memos, you have <font class="hcp1">Old Qty</font>, <font class="hcp1">New Qty</font>, and <font class="hcp1">Diff Qty</font> fields.</p>

<p class="Help-Text">Similar fields in the totals area of the memo (<font class="hcp1">Old Value,</font> <font class="hcp1">New Value</font> on cost memo, and <font class="hcp1">Old Qty, New Qty, Qty Change</font> on quantity memo) summarize the total adjustments to inventory for all items on the memo. One more totals field, <font class="hcp1">Value Change</font>, is used on both memo types to show the dollar change in inventory value resulting from the memo. These totals fields cannot be edited.</p>

<p class="Help-Text">Adjustment memos are used to make changes to item quantities or costs. The changes tracked are those that would not otherwise be recorded on another <a href="../qbpos_glossary_of_terms/glossarypage.htm#glossary_transactionaldocs">transactional document</a>.</p>
<p class="Help-Text">Typical uses for manually-created adjustment memos include:</p>

<p class="Help-Text">When you create an adjustment memo, the affected <font class="hcp2">On-hand Quantity</font> or <font class="hcp2">Average Unit Cost</font> fields are automatically updated in inventory and a permanent record of the change is added to your adjustment and item history.</p>
<p class="Help-Text">Some actions in Point of Sale, such as deleting an item with an on-hand quantity, conducting a <a href="../qbpos_glossary_of_terms/glossarypage.htm#glossary_PI">physical inventory</a>, or manually entering or editing an items average cost or on-hand quantity result in <a href="memo1318.htm">program-generated adjustment memos</a>.</p>
<p class="Help-Text">Saved memos are permanently stored in your adjustment history lists. A separate list is maintained for each memo type, quantity and cost. Memos can be reversed to correct errors, but never deleted.</p>
