<p class="Help-Text">Microsoft Word templates are used to create letters to your customers or vendors. The templates allow you to include information from your customer, vendor, sales, and purchasing records.</p>
<p class="Help-Text">A variety of letter templates are provided for your use. Use this procedure to customize these templates or create your own.</p>
<p class="Help-Info-Line">To create or modify a letter template:</p>

<p class="Help-Steps">From the I Want To menu of a record, document or list, select <span class="hcp3">Write Letters <font face="Wingdings 3" class="hcp4"></font> Manage Letter Templates</span>.</p>

<p class="Help-Steps">From the drop-down list, choose the letter type you wish to modify or create.</p>

<p class="Help-Steps">To modify an existing template, select the template from the list and select <span class="hcp3">Modify Template</span> at the bottom of the window. A preview of the selected template is displayed.</p>

<p class="Help-Indent">To create a template, select <span class="hcp3">New Template</span> and enter a unique name for it.</p>
<p class="Help-Indent">The template is opened in Microsoft Word. In Word 2003 and earlier, the Point of Sale fields toolbar floats at the top of the document. In Word 2007, select <span class="hcp3">Add Ins</span> from the ribbon at the top of the screen to display the fields toolbar.</p>

<p class="Help-Steps">Type or edit the letter, inserting Point of Sale data fields as needed.</p>

<p class="Help-Indent"><span class="hcp3">To insert a data field:</span> Place your cursor where you wish the information to appear in the letter and then select a field from the fields toolbar.</p>
<p class="Help-Indent">If placing fields next to each other, such as title, first, and last name, add spaces or punctuation between them as necessary.</p>

<p class="Help-Steps">Save the document in Microsoft Word.</p>

<p class="Help-Indent">The template is saved as a Word document with the .doc file extension. Do not change the file extension when saving.</p>

<p class="Help-Bulleted">You can also select <span class="hcp3">Modify Template</span> or <span class="hcp3">Add New</span> while writing a letter.</p>

<p class="Help-Bulleted">The fields toolbar will only contain fields for the letter type selected, i.e., you cannot modify a customer letter template and add vendor fields to it.</p>

<p class="Help-Bulleted"><span class="hcp3">Word 2003 or earlier:</span> If you close the Point of Sale fields toolbar , it can reopened by selecting <span class="hcp3">View <font face="Wingdings 3" class="hcp4"></font> Toolbars <font face="Wingdings 3" class="hcp4"></font></span> <span class="hcp3">Point of Sale &lt;letter type&gt; Fields</span>.</p>

<p class="Help-Bulleted">If upgrading from a previous version in which you had created custom letter templates, you will need to copy your custom templates to the Point of Sale 10.0 folder to make them available. The default folder in which templates are stored is:</p>

<p class="Help-Indent"><span class="hcp3">Windows XP</span>: C:\Documents and Settings\All Users\Application Data\Intuit\Point of Sale n.n\Letter Templates</p>
<p class="Help-Indent"><span class="hcp3">Windows Vista</span>: C:\Users\All Users\Intuit\Point of Sale n.n\Letter Templates</p>
<p class="Help-Indent">Where n.n = Point of Sale version number. In Windows Vista, you may have to change your settings to view hidden folders to access these files.</p>
